Maintaining an organized client and prospect source list is essential for effective management and communication. Over time, you may encounter issues such as duplicate entries or inconsistent naming conventions. This document provides a comprehensive guide on how to clean up and manage your sources effectively within the MedicareProCRM system.

Accessing the Sources Management

To begin managing your sources, navigate to your Settings page. From there, locate and click on the "Sources" tab to access the source management options.

Updating and Editing Sources

In some cases, you may need to update or edit an existing source. For example, if you initially created a source named "Kiosk" for a specific group of prospects, and later added two more kiosks, you may want to differentiate between them. To do this:

  1. Go to your Settings page.

  2. Locate the source named "Kiosk" and rename it to a more specific title that reflects its purpose.

This process will help you maintain organization and clarity in your source list.

Consolidating Sources

Another common scenario involves having multiple sources that are closely related. For instance, if you created a source called "UHC leads" in January and later created another source named "United Leads" by mistake, you may end up with several sources that are essentially the same. To consolidate these sources:

  1. Identify the source you wish to consolidate.

  2. Click the drop-down menu labeled "Consolidate."

  3. Select the source you want to merge the entries into.

  4. Optionally, delete the old source if it is no longer needed.

This consolidation process will streamline your sources and reduce confusion.

Deleting Sources

If you find a source with a (0) next to its name, it indicates that no profiles are currently assigned to that source. In such cases, you can delete the source by following these steps:

  1. Click the ellipsis (...) located at the top right corner of the source.

  2. Select "Delete" from the options provided.

This will help keep your source list clean and manageable.

Understanding Global Sources

Global sources, which are highlighted in red, are system-defined sources that are accessible to all users. It is important to note that these sources cannot be renamed or deleted. The only action you can take is to consolidate profiles in and out of these global sources.

By following these guidelines, you can effectively manage your client and prospect source list, ensuring that it remains organized and efficient for your business needs.
