This article explains who appears in the "Assign to" dropdown when you create or edit a task in MedicarePro. The list of available assignees depends on whether you're using the Agent or Agency platform and whether you're logged in as a staff member or the account owner.

Understanding the Dropdown Sections

The Assign to dropdown is organized into sections to help you find the right person or entity quickly.

Me

This is always you — the currently logged-in person. Depending on your context:

• Staff login → Your staff identity • Agency platform (owner) → Your agency • Agent platform (owner) → Your personal user account

Staff

Staff members who work on the account. This includes:

• Your personal staff — staff members linked directly to you (the account owner) • Agency staff (Agency platform only) — staff members linked to the agency itself

If you are a staff member, you'll see the other staff members here. You won't see yourself in this section because you're already listed under "Me."

Agencies

Agency entities you can assign tasks to:

• Your own agency — if you're staff on the agency platform, your agency appears here • Downline agencies (Agency platform only) — agencies in your downline hierarchy • Upline agency (Agency members only) — your direct upline agency, so you can escalate tasks upward

Agents

Individual agents (users) you can assign tasks to:

• The account owner — if you're logged in as staff, the account owner appears here • Downline agents — agents in your hierarchy. On the Agent platform, only LOA agents and your principal are shown. On the Agency platform, all downline agents appear.

Platform Differences

Agent Platform

The Agent platform provides a focused view. You see yourself, your staff, and a limited set of downline agents (LOA agents only). This keeps the list manageable for day-to-day agent work.

Agency Platform

The Agency platform provides the full management view. You see everything from the Agent platform plus all downline agents, all downline agencies, agency-level staff, and your upline agency. This gives agency managers complete flexibility to delegate and escalate work.

Assigning Tasks to Your Upline Agency

If you are a downline agency member, you can assign tasks to your direct upline agency. This allows you to escalate issues, request support, or coordinate with your upline — all within the task system.

Your upline agency appears in the Agencies section of the dropdown alongside any downline agencies.

Note: You can assign tasks to the upline agency entity, but not to individual users or staff within that upline agency.

Searching for Assignees

The dropdown includes a search bar. As you type:

  1. Local filtering — the pre-loaded list is filtered instantly for matching names.

  2. Server search — if no local matches are found and you've typed at least 2 characters, a server-side search runs against your downline agents to find additional matches.

This is useful when you have a large downline and the person you're looking for wasn't in the initial list.

Frequently Asked Questions

Why don't I see my upline agency in the dropdown?

The upline agency only appears on the Agency platform. If you're using the Agent platform, switch to the Agency platform to see the option. Also, if you are the agency owner (not a downline member), there is no upline to display.

Why are some staff members missing from the list?

On the Agent platform, only staff linked directly to your account appear. On the Agency platform, staff linked to the agency itself are also included. If a staff member is only linked at the agency level, they will only appear when you're on the Agency platform.

Can I assign a task to someone outside my hierarchy?

No. You can only assign tasks to people and entities within your organizational hierarchy — your staff, your downline agents and agencies, and your direct upline agency.

Why do I only see LOA agents on the Agent platform?

The Agent platform shows a focused list to keep things manageable. Only LOA agents with your agency are included. Switch to the Agency platform to see all downline agents.
